Getting Started
Guides

Pick your app, follow the steps, and get your first process running. Each guide takes about 15 to 30 minutes to work through.

One rule for every app: start with one process, not the whole company. Get it running, then expand.

Zoho CRM

Best for: Teams that want to track leads, contacts,
and deals in one place.

Before you start

  • Write down your sales process in 4 to 6 stages (e.g. New, Qualified, Proposal, Negotiation, Won/Lost).

  • List the 3 to 5 pieces of information you really need about a lead or customer.

  • Export your existing contacts to a CSV file (from spreadsheets, email tools, or another CRM).

Step-by-step

  1. Set up your company profile. Add your company details, time zone, currency, and business hours.
  2. Invite users and assign roles. Decide who sees what. Set roles and profiles on day one; it is much harder to fix later.
  3. Adapt your fields. Add the custom fields you listed, and remove or hide fields you will not use. Keep forms short so your team actually fills them in.
  4. Build your pipeline. Configure deal stages to match your sales process, including win probability per stage.
  5. Import your data. Clean your CSV first (remove duplicates, check column headers), then import and map the fields. Use duplicate-check options during import.
  6. Connect email and calendar. Link your mailbox so emails and meetings are logged against the right records.
  7. Automate one thing. For example: when a new lead arrives, assign it to a team member and create a follow-up task. Start with one workflow rule only.
  8. Create a simple dashboard. Show open deals by stage, new leads this week, and tasks due. Review it in your weekly meeting.

Common mistakes

  • Too many custom fields at the start, which leads to low data quality.
  • Importing messy data and cleaning it later.
  • Skipping roles and permissions.
  • Building complex automations before the basic process works.

Zoho Books

Best for:
Small and mid-sized businesses that want invoicing, expenses, and accounting in one system.

Before you start

  • Decide the date you want to start using Books (ideally the start of a month or fiscal year).
  • Gather your chart of accounts, opening balances, customer and vendor lists, and item or service list.
  • Check with your accountant or bookkeeper how sales tax and the chart of accounts should be handled for your business.

Step-by-step

    1. Set up your organization profile. Add legal name, address, fiscal year, base currency, and time zone.
    2. Configure taxes. Set up the sales tax settings that apply to your business. Confirm these with your accountant.
    3. Review your chart of accounts. Use the defaults as a base and add or rename accounts as needed.
    4. Enter opening balances. Use your last closed period as the starting point so reports match your existing books.
    5. Add customers, vendors, and items. Import them from CSV if you have more than a handful.
    6. Connect your bank accounts. Set up bank feeds or import statements, then categorize and reconcile transactions.
    7. Customize your invoice template. Add your logo, payment terms, and payment instructions. Enable online payments if you want to get paid faster.
    8. Set up recurring invoices and reminders. Automate payment reminders for overdue invoices.
    9. Invite your accountant. Give them access with an appropriate role.

Common mistakes

  • Starting without opening balances, which leads to reports that do not match.
  • Skipping bank reconciliation until the end of the quarter.
  • Setting up taxes without checking with an accountant.

Next step

If you also use Zoho CRM, you can sync customers and deals with Books so quotes and invoices flow from one system to the other.

Zoho Desk

Best for: Teams that handle customer questions, support requests, or service tickets.

Before you start

  • List the channels customers use to contact you (email, web form, chat, phone, social).
  • Decide how you want to organize your team (for example by product, region, or topic).
  • Collect your 10 most common customer questions and answers.

Step-by-step

  1. Set up your help desk. Add company details, business hours, and holidays.
  2. Create departments. Group agents by topic or product so tickets reach the right people.
  3. Add agents and set roles. Define who can view, reply, and manage tickets.
  4. Connect your support email. Forward your support address (e.g. [email protected]) so incoming emails become tickets.
  5. Define ticket statuses and priorities. Keep them simple: Open, In Progress, Waiting on Customer, Closed.
  6. Create canned responses. Turn your top 10 questions into reusable replies.
  7. Set up SLAs. Define target response and resolution times per priority.
  8. Automate assignment. Route tickets automatically by department, keyword, or round robin.
  9. Add a help center (optional). Publish your most common answers so customers can self-serve.

Common mistakes

  • Too many statuses and categories, which makes reporting unreliable.
  • No SLA targets, so nobody knows what "on time" means.
  • Skipping canned responses and answering the same question manually again and again.

Next step

Connect Desk with your CRM so agents see the customer's deals and history next to every ticket.

Zoho Projects

Best for: Teams that plan work, assign tasks, and track time and progress.

Before you start

  • Pick one real project to start with.
  • Break it into main phases and 5 to 10 key tasks.
  • Decide who is responsible for what.

Step-by-step

  1. Set up your portal. Add your company name, logo, and time zone.
  2. Invite team members and clients. Assign roles so people see only what they need.
  3. Create your first project. Add a name, owner, dates, and a short description.
  4. Add task lists and tasks. Group tasks by phase. Give each task an owner, due date, and priority.
  5. Set milestones. Mark the key dates that matter, such as a launch or client approval.
  6. Use the views that fit you. Try the task list, Kanban board, and Gantt chart, then keep the one your team prefers.
  7. Track time. Use timesheets if you bill by the hour or want to understand effort.
  8. Save a project template. Once the project works, turn it into a template for similar future projects.
  9. Automate routine steps. For example: notify the owner when a task is overdue

Common mistakes

  • Creating tasks without owners or due dates.
  • Using every view and feature at once.
  • Not reviewing the plan weekly, so it gets outdated.

Next step

Link Projects with Zoho CRM or Books to turn won deals into projects and bill tracked time directly.

Zoho People

Best for: Companies that want to manage employee records, leave, attendance, and onboarding in one place.

Before you start

  • Prepare an employee list (name, email, department, location, job title, start date).
  • Collect your leave policies and holiday calendar.
  • Decide who in your company will be responsible for HR data.

Step-by-step

    1. Set up your company structure. Add departments, locations, and job titles.
    2. Import employee records. Use a CSV import and check the field mapping.
    3. Define roles and permissions. Employee data is sensitive. Restrict access to HR and managers where needed.
    4. Configure leave types and policies. Add vacation, sick leave, and other types, plus accrual rules and the holiday calendar.
    5. Set up attendance. Choose how attendance is tracked (check-in/check-out, timesheets, or shifts).
    6. Build an onboarding checklist. List the tasks for new hires: paperwork, equipment, accounts, introductions.
    7. Create approval flows. Define who approves leave and other requests.
    8. Invite employees. Share a short note on how to request leave and update their details.

Common mistakes

  • Opening up access to sensitive data.
  • Setting up leave policies without confirming them with HR or legal.
  • Importing outdated employee data.

Next step

Zoho Creator

Best for: Teams that need a custom app for a process that off-the-shelf tools do not cover.

Before you start

  • Choose one process to digitize (for example: request approvals, inventory tracking, or client onboarding).
  • Sketch it on paper: who enters what, who approves, and what the result should be.
  • Check whether a template or an existing Zoho app already covers most of it.

Step-by-step

    1. Define the goal. Write one sentence: "This app helps [who] do [what] so that [result]."
    2. Start from a template or from scratch. Templates save time; adapt them instead of rebuilding.
    3. Create your forms. A form is where data is entered. Add only the fields you need and choose the right field types.
    4. Build reports and pages. Reports show the data in tables, lists, or boards. Pages can combine charts and summaries into a dashboard.
    5. Add workflows. Automate steps such as sending a notification, updating a field, or requesting approval when a record is submitted.
    6. Set permissions. Define which roles can add, view, edit, or delete records.
    7. Test with real examples. Enter a few sample records and run the full process, including approvals.
    8. Publish and gather feedback. Share the app with a small group first, then improve based on their input.

Common mistakes

  • Building a large app before testing the core process.
  • Too many fields, which makes the form hard to use.
  • No clear owner for maintaining the app after launch.

Next step
Creator apps can read and write data in your other Zoho apps. We can help you plan the integration.

Zoho MarketingAutomation

Best for: Teams that want to nurture leads, send targeted emails, and track what works.

Before you start

  • Make sure the contacts you import have agreed to receive marketing emails, and keep a record of that consent.
  • Decide on one goal for the first campaign (for example: welcome new signups, or re-engage inactive leads).
  • Prepare your logo, brand colors, and a sender name and address people will recognize.

Step-by-step

      1. Set up your sender identity. Use a real sender name and a reply-to address that someone monitors.
      2. Authenticate your domain. Set up SPF and DKIM for your sending domain so your emails reach the inbox instead of spam.
      3. Import contacts or connect your CRM. Sync from Zoho CRM or import a clean CSV with consent information.
      4. Organize your audience. Create lists or segments by interest, industry, lead status, or behavior.
      5. Build a template. Create one responsive email template with your branding, and reuse it.
      6. Create a simple automation. Start with a welcome series of 3 emails, for example on day 0, day 3, and day 8.
      7. Add a signup form or landing page (optional). Use it to collect new leads directly into your lists.
      8. Set up lead scoring. Give points for actions such as opening emails, clicking links, or visiting pricing pages, and hand high scorers to sales.
      9. Check compliance. Every marketing email needs an unsubscribe link and your physical postal address (CAN-SPAM).
      10. Review results. Look at opens, clicks, and unsubscribes, then improve one thing at a time.

    Common mistakes

    • Sending to purchased or old lists.

    • Skipping domain authentication.

    • Tracking only open rates. Clicks and replies say more about interest.

    • Sending long, complex campaigns before testing a simple welcome series.

    Next step

Connect Marketing Automation with your CRM so lead scores and email activity show up directly on each lead.
